Compliance Reminder: Update Your PIC and Business Roles

Dealers are reminded to review their information in the online portal regularly to ensure that all current business roles are accurately recorded — including the Persons in Charge (PIC), directors and officers.

With new Continuing Professional Development (CPD) requirements coming, it’s essential that dealer records accurately reflect the individuals in these key roles. OMVIC relies on this information to, among other things, confirm who must complete CPD before renewal on behalf of the dealer.

Failure to maintain accurate records may cause renewal delays, since the correct individuals must complete CPD before the dealer registration can be renewed. Late requests may also slow processing and could delay renewals, halting the dealer’s ability to trade vehicles until renewals are approved.

If updates are required, dealers must file a Business Change Notice (BCN) through the OMVIC portal.

The Role of the PIC

OMVIC reminds dealers that the PIC role is responsible for the day-to-day operations of the dealership and ensuring ongoing compliance with all legal and regulatory requirements through regular onsite oversight.

The key responsibilities of the PIC include:

  • Overseeing daily operations and ensuring compliance with the MVDA, its regulations, and related legislation.
  • Supervising staff to maintain regulatory compliance in all dealership activities.
  • Completing mandatory education requirements on behalf of the dealer, including the initial registration course and CPD obligations.

Importantly, each dealership location must have its own designated PIC. The same individual cannot serve as the PIC for more than one dealership location unless prior written authorization is obtained from OMVIC. Dealers must ensure that every registered location has an active PIC recorded with OMVIC, and that any changes are reported promptly through a BCN.
