OMVIC is currently searching for an Office Coordinator (on-site 5 days per week) for our Toronto corporate office.
Who is OMVIC:
OMVIC (Ontario Motor Vehicle Industry Council) is Ontario’s vehicle sales regulator. OMVIC enforces the Motor Vehicle Dealers Act and other consumer protection statutes for the Ministry of Public and Business Service Delivery and Procurement. OMVIC’s mandate and role is to maintain a fair and informed marketplace by protecting the rights of consumers, enhancing industry professionalism, and ensuring fair, honest, and open competition for registered motor vehicle dealers. This is achieved by maintaining strict dealer/salesperson registration requirements; inspecting all Ontario dealers (new and used); providing free complaint handling to consumers; developing/delivering consumer and dealer education/awareness programs; and investigating and prosecuting industry non-compliance and illegal sales (curbsiding).

Position Summary:
The Office Coordinator provides administrative and operational support to ensure the smooth daily functioning of OMVIC’s head office. The role delivers exceptional front counter service, manages reception and office logistics, coordinates property management and office maintenance activities, and maintains a professional and welcoming workplace. Serving as a key liaison between internal departments and building management, the Office Coordinator upholds OMVIC’s standards of professionalism, efficiency, and service excellence.
Responsibilities:
- Deliver top-notch, in-person reception coverage five days a week, ensuring every inquiry is met with professionalism and a positive attitude.
- Take charge of mail, couriers, deliveries, and all office/kitchen supplies. Transform storage areas and keep the workspace neat and clean.
- Oversee and order all office essentials, from branded envelopes to specialized supplies.
- Assist with scheduling, room reservations, and catering, creating seamless experiences for every gathering.
- Monitor maintenance services and support departmental initiatives, keeping everything running smoothly behind the scenes.
- Schedule court reporters and interpreters and manage transcript orders.
- Update profiles, making every application process smooth and welcoming.
- Direct inquiries to the right staff, helping everyone find answers quickly.
- Act as the single contact for building services, ensuring the office environment is always at its best.
- Coordinate setups, moves, and logistics, making transitions effortless and efficient.
- Other duties as assigned.
Qualifications:
- High school diploma required, and a post-secondary credential such as a college diploma or certificate in Office Administration, Business Administration, or a related field is preferred.
- Minimum of 2–3 years of administrative or office coordination experience, preferably in a professional or corporate environment.
- Strong organizational, communication, and interpersonal skills with the ability to manage multiple priorities.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Must be able to lift up to 20 lbs.
