OMVIC currently has a vacancy for an Administrative Support, Compensation Fund and Adjudicative Services for our Toronto corporate office.
Who is OMVIC:
OMVIC (Ontario Motor Vehicle Industry Council) is Ontario’s vehicle sales regulator. OMVIC enforces the Motor Vehicle Dealers Act and other consumer protection statutes for the Ministry of Public and Business Service Delivery and Procurement. OMVIC’s mandate and role is to maintain a fair and informed marketplace by protecting the rights of consumers, enhancing industry professionalism, and ensuring fair, honest, and open competition for registered motor vehicle dealers. This is achieved by maintaining strict dealer/salesperson registration requirements; inspecting all Ontario dealers (new and used); providing free complaint handling to consumers; developing/delivering consumer and dealer education/awareness programs; and investigating and prosecuting industry non-compliance and illegal sales (curbsiding).

Position Information:
- Reports to: Director, Compensation Fund and Adjudicative Services
- Salary Range: $60,000 – $80,000 annually
- Work Model: Hybrid – requirement of 2 days per week/8 days per month in office. All duties carried out remotely must be completed from the employee’s approved home office within Ontario.
Position Summary:
The Administrative Support role is responsible for delivering a broad range of administrative and operational services that ensure the efficient functioning of key organizational processes. This position plays a vital role in coordinating activities for both the Compensation Fund and the Discipline and Appeals Tribunal.
Responsibilities:
- Assist with end-to-end processing of compensation fund claims, including requesting additional information from parties, reviewing compensation fund eligibility, and assembling Board meeting materials and claim files for Board consideration.
- Provide administrative support for discipline and appeal proceedings, including scheduling hearings, coordinating pre‑hearing activities, managing documents, and distributing materials, decisions, and settlement review documentation.
- Assist with arranging and coordinating resources for virtual and in‑person discipline matters, liaising with tribunal members and third‑party facilitators as directed.
- Communicate with claimants, registrants, tribunal participants, and other stakeholders by phone, email, and mail to respond to inquiries and support file progression.
- Prepare agendas, meeting materials, and minutes as required, ensuring accuracy and timely distribution.
- Maintain accurate electronic and physical records; update CRM data; and handle inquiries by phone, email, or mail.
- Provide administrative and team support, including per‑diem payment processing, travel arrangements, management of Letters of Credit, and other duties as assigned.
- Perform additional administrative and operational duties as needed.
Qualifications:
- Post‑secondary diploma or certificate in Office, Business, Legal, or Public Administration; paralegal studies an asset.
- 3–5 years of administrative experience with strong customer service skills.
- Excellent organization, time‑management, and ability to manage multiple cases.
- Able to work in a quasi‑judicial environment with sound judgment and problem‑solving skills.
- Strong written and verbal communication; professional interaction at all levels.
- Works independently and collaboratively; able to prioritize and meet deadlines.
- Proficient in MS Office, Teams, and Office 365; quick learner of new systems.
- Maintains strict confidentiality, impartiality, and discretion with sensitive information.
- Understanding of regulatory authority operations is an asset.
