OMVIC is currently searching for a Human Resources Coordinator for the Toronto-based corporate office.
Who is OMVIC:
OMVIC (Ontario Motor Vehicle Industry Council) is Ontario’s vehicle sales regulator. OMVIC enforces the Motor Vehicle Dealers Act and other consumer protection statutes for the Ministry of Public and Business Service Delivery and Procurement. OMVIC’s mandate and role is to maintain a fair and informed marketplace by protecting the rights of consumers, enhancing industry professionalism, and ensuring fair, honest, and open competition for registered motor vehicle dealers. This is achieved by maintaining strict dealer/salesperson registration requirements; inspecting all Ontario dealers (new and used); providing free complaint handling to consumers; developing/delivering consumer and dealer education/awareness programs; and investigating and prosecuting industry non-compliance and illegal sales (curbsiding).

Position Summary:
The HR Coordinator plays a key role in supporting the day-to-day operations of the Human Resources department. This position provides support across a broad range of HR functions, including but not limited to, recruitment and selection, onboarding, payroll administration (as a backup), benefits administration, training coordination, employee relations and general HR administration. This will contribute to the achievement of OMVIC’s people-focused goals by supporting special projects and HR initiatives that enhance the overall employee experience and organizational effectiveness.
Responsibilities:
- Conducts full-cycle recruitment, including job postings, screening, interviews, reference checks, and candidate communications.
- Prepares recruitment forms, new hire documentation, orientation packages, and assists with onboarding sessions and introductory meetings.
- Coordinates with staffing agencies and handles employment-related inquiries and verification letters.
- Supports payroll processing and year-end activities; administers employee benefits and RRSP enrollments/changes.
- Coordinates and tracks staff training via the learning management system, ensuring completion of mandatory modules.
- Responds to employee inquiries, provides guidance on HR policies, and promotes a respectful workplace culture.
- Maintains HRIS and payroll records for staffing changes; manages employee files and updates organizational charts.
- Tracks performance check-ins and appraisals; supports HR budgeting, planning, and project research.
- Coordinates employee service awards, business cards, and HR-sponsored events; provides general administrative support.
- Assists with background screening for board, council, and driver abstract checks, and performs other duties as required.
Qualifications:
- Degree or diploma in Human Resources Management or related field, with 1–2 years of HR experience including payroll, recruitment, and general HR functions.
- Proficient in Microsoft Office, especially Excel (pivot tables, formulas); experience with payroll software preferred.
- CHRP designation or working towards it is an asset.
- Strong knowledge of Ontario employment legislation (ESA, OHRC, AODA, PIPEDA).
- Excellent communication and interpersonal skills; able to build relationships and interact effectively across all levels.
- Demonstrated discretion, sound judgment, and professionalism.
- Strong time management, organizational, and problem-solving skills; able to prioritize, work independently, and meet deadlines in a fast-paced environment.
- Experience in the non-profit or regulatory sector is considered an asset.
