OMVIC is currently searching for a Discipline and Appeals Tribunal Coordinator for our Toronto corporate office.
Who is OMVIC?
OMVIC (Ontario Motor Vehicle Industry Council) is Ontario’s vehicle sales regulator. OMVIC enforces the Motor Vehicle Dealers Act and other consumer protection statutes on behalf of the Ministry of Public and Business Service Delivery and Procurement. OMVIC’s mandate and role is to maintain a fair and informed marketplace by protecting the rights of consumers, enhancing industry professionalism, and ensuring fair, honest, and open competition for registered motor vehicle dealers. This is achieved by maintaining strict dealer/salesperson registration requirements; inspecting all Ontario dealers; providing consumer complaint handling services; delivering education/awareness programs; and investigating and prosecuting industry non-compliance and illegal sales (curbsiding).  If a dealer or salesperson fails to meet their legal and ethical obligations (as in, breaches the Code of Ethics), they may be subject to discipline.

Role Summary:
The Discipline and Appeals Tribunals Coordinator will play a pivotal role in managing the administrative and procedural aspects of the tribunal process. The Discipline and Appeals Tribunal is made up of thirteen members, consisting of six public and seven industry representatives. These members ensure a fair and transparent process, contributing to the integrity and professionalism of Ontario’s automotive industry. The Coordinator will be responsible for coordinating all activities related to discipline and appeals hearings, ensuring that proceedings are conducted fairly, efficiently, and in accordance with established policies and procedures. The Coordinator is a key figure in supporting the works of the Tribunal to uphold the standards and fairness of the organization’s disciplinary process. The ideal candidate will be a detail-oriented, proactive individual with a passion for maintaining the integrity of the tribunal system.

Responsibilities:
  • Serve as the main contact for discipline and appeals tribunals, coordinating with all participants and parties involved.
  • Organize and oversee logistics for both in-person and virtual hearings, ensuring proper scheduling, resources, and technology setup.
  • Assist the Tribunal Chair in appointing panels and pre-hearing chairs, and coordinate with third-party facilitators.
  • Prepare and distribute necessary documentation and decisions, maintaining records of tribunal cases and ensuring compliance with legal and organizational requirements.
  • Provide guidance and training to tribunal members, refine processes for efficiency and fairness, and coordinate recruitment and per-diem payments.
  • Perform other related duties as required.
Qualifications:

  • College diploma in a law-related discipline (e.g. Legal Assistant, Law Clerk, Paralegal).
  • 5 or more years of experience in administrative roles, preferably within a legal or quasi-legal environment.
  • Strong organizational and time management skills, with the ability to manage multiple cases simultaneously.
  • Excellent communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels.
  • Proficient in Microsoft Office, MS Teams and Office 365, with aptitude to learn new software and systems.
  • Proven ability to read and to assimilate legislation.
  • Knowledge of legal terminology and understanding of the principles of natural justice and procedural fairness.
  • Ability to work independently as well as collaboratively, to prioritize and manage several different and varied tasks simultaneously and meet deadlines.
  • Ability to maintain confidentiality and exercise discretion in sensitive situations.
  • Ability to build professional, positive relationships with diverse stakeholders, adapting communications styles as necessary.
